Position Objective/Description:
This position is responsible for assisting the estimating department with preparing bids, obtaining pricing information, organizing project documentation, and supporting estimators throughout the bidding process. Works closely with estimators to research competitive pricing, coordinate with vendors and subcontractors, and verify insurance documentation to ensure vendors meet company requirements and can be utilized for projects.
Essential Duties and Responsibilities:
• Assist estimators with preparing quotes, proposals, and bid packages for civil construction projects.
• Research and obtain competitive pricing from subcontractors, suppliers, and vendors.
• Organize subcontractor quotations and vendor information for bid review.
• Review vendor and subcontractor insurance documentation to verify compliance with company requirements.
• Confirm vendors meet insurance requirements before approval for project use.
• Maintain and organize project files, bid documents, quotations, and estimating records.
• Assist with quantity takeoffs and construction document review.
• Research construction documents and specifications to obtain required project information.
• Coordinate with vendors and subcontractors regarding pricing, documentation, and bid requirements.
• Assist estimators with tracking bid deadlines and maintaining accurate records.
• Work closely with the estimating team to support timely and accurate project bids.
• Promote and enforce company safety policies and procedures so company safety objectives are achieved.
Knowledge, Skills and Abilities:
• Strong organizational and time management skills.
• Excellent attention to detail and accuracy.
• Ability to read and understand construction plans, drawings, and specifications preferred.
• Strong communication and interpersonal skills.
• Ability to work effectively under deadlines in a fast-paced environment.
• Knowledge of Microsoft Office Suite and spreadsheet software.
• Ability to research and analyze vendor pricing information.
• Basic understanding of vendor insurance requirements and documentation.
• Ability to establish and maintain effective working relationships with vendors, subcontractors, and coworkers.
• Demonstrate a safety-first attitude and adherence to company safety requirements and procedures.
Physical Demands:
• Must have the use of sensory skills in order to effectively communicate and interact with employees and vendors through telephone and personal contact.
• Occasionally lifts, carries and/or moves objects weighing up to 20 pounds.
• Regularly required to use hands and fingers to handle office equipment and computer systems.
• Physical capability to effectively use and operate office equipment including telephones, computers, calculators, copiers, and printers.
• Work may occasionally require site visits and/or trips to jobsites.
Education / Experience:
• High school diploma or equivalency diploma required.
• Previous administrative, estimating, construction office, or vendor coordination experience preferred.
• Experience reviewing insurance certificates and vendor compliance documentation preferred.
• Construction industry experience preferred.
• Computer proficiency required.
• Valid driver’s license preferred.
Work Environment:
Work is predominately indoors within a usually quiet to moderately noisy office environment. Considerable amount of time is spent working/sitting in front of a computer. Regular business hours are expected; however, overtime may be required to meet project deadlines.
